Grade Point Average

Grade Point Average is the cumulative, numerical average of the grades the student has received. The range may be from a low of 0.0 to a high of 4.0. With a few exceptions, most higher education institutions accept college credit only and do not carry over grade point averages from one institution to the next.

The student’s grade point average (GPA) is determined by dividing the total number of grade points earned by the total number of credits attempted in those courses which count toward the student’s grade point average.

Grade Book Archiving

Grade books (grade spreadsheets) should be kept by the instructor for a minimum of five (5) years. This archiving should help to address any legal actions that may arise concerning grades. Grade books can be subpoenaed, and faculty may be required to justify grades and any comments in the grade book.

Student Test & Examination Archiving

Student tests, papers, projects, etc., that were graded by faculty for determining the final grade and were not returned to the student, should be kept for one (1) year. This supports the standard grade appeal process in effect at the College.

Grade Appeals

A student who wishes to appeal a grade should follow the appeal procedure listed below. The appeal process for course grades or other course matters must be initiated no later than the end of the quarter (last class day) following the quarter in which the course was completed. If dissatisfied with the appeal at any level, the student may appeal in writing to the next level:

Metropolitan Community College retains in perpetuity the student’s official academic records (transcript) of enrollment and credit earned. Student financial aid records are retained for five (5) years; student registration documents are kept for two (2) years.

The student who believes there is an inaccuracy in his/her official academic record (transcript) must notify the Central Records office immediately. After the student’s registration documents are destroyed, the official academic transcript cannot be changed. The transcript is the final, accurate record of academic accomplishment.
